The Registrar
1. Requirement: The candidate must have:
1.1. At least a master’s degree;
1.2. Excellent communication and interpersonal skill and proven leadership ability and motivation;
1.3. An appreciation of team spirit and demonstrated competence in coordination of activities;
1.4. An understanding of national and regional policies and guidelines that are directly or indirectly related to the activities of the College;
1.5. Commitment towards realization of academic mission of the College;
2. Duties and Responsibilities
The Registrar head shall have the following duties and responsibilities:
a) Develops and implements proper mechanisms and instruments for the admission, placement and orientation of new students;
b) Coordinates and processes the admission, registration, placement, and graduation of students;
c) Processes registration and course enrolment; schedules classes and exams; assemble and maintain student records;
d) Organizes, coordinates and oversees the academic orientation of new students to the College ;
e) Organizes and administers graduation functions, transcript evaluations, certification process/ issuance of transcripts and other academic credentials for students and alumni in order to provide maximum service to students while ensuring efficient and effective workflow;
f) Ensures that alumni membership records are obtained regularly;
g) Explores and implements new technologies and methods to enhance alumni management;
h) Develops and implements efficient and effective student management information system to collect, process, deploy and disseminate information and data on undergraduate and graduate programs, student population, and student activities;
i) Collects, organizes and disseminates alumni feedbacks and suggestions;
j) prepare the academic calendar of the College each year in consultation with the president/Dean and submit the same to the AC for approval;
k) Creates and maintains up-to-date confidential, private, safe, and permanent records of all students, including drop-outs, dismissals, withdrawals, and alumni of undergraduate and TVET programs;
l) Maintains up-to-date records on curricula of programs and ensures that rules and regulations are adhered to and observed;
m) Prepares and issues identification attesting to the admission status of students;
n) Announces and advertises College programs to the public;
o) Process registration and course enrolment; schedule classes and exams;
p) Organizes, maintains and disseminates up-to-date information on student enrolment, admissions, withdrawals, completion, attrition and graduates;
q) Prepares and disseminates academic calendars after approval by the AC of the College;
r) Develops mechanisms for the timely certification of graduates;
s) Organizes and administers graduation functions, transcript evaluations, issuance of transcripts and other academic credentials for students and alumni;
t) Secures, maintains and ensures the integrity of all academic records;
u) Perform other related tasks given by the immediate supervisor.
